Where Excel still works fine for hotel reporting, where it breaks down, and what actually replaces it.
Excel isn’t the problem — scale is
For a single independent hotel with one or two people building the report, Excel usually works. It’s flexible, everyone already knows how to use it, and there’s no new system to learn. The trouble starts when the same spreadsheet has to be rebuilt every week from multiple source systems, or when a second, third, or fourth property gets added to the portfolio and each one reports slightly differently.
Where Excel holds up
- Single-property operations with one or two people responsible for the numbers
- Ad hoc analysis and one-off questions that don’t need to repeat every week
- Modelling and scenario planning, where flexibility matters more than automation
Where it breaks down
- Multi-property portfolios, where every hotel’s spreadsheet is built slightly differently
- Reports pulling from more than two or three source systems by hand
- Any report that has to be rebuilt on a fixed schedule, week after week
The failure mode is rarely dramatic — it’s just slow, repetitive work that quietly consumes hours every week, and small formula errors that are hard to catch until the numbers stop making sense.
What actually replaces it
The alternative isn’t a “smarter” spreadsheet template — it’s connecting the source systems directly to a standing dashboard, so the numbers update on their own instead of being manually rebuilt. That’s a different kind of tool, usually something like Power BI or Looker Studio, built once and then simply read going forward rather than reconstructed every reporting cycle.
What stays exactly the same
Automating the reporting layer doesn’t remove the judgment. Ownership and GMs still decide which KPIs matter, still interpret what a dip in RevPAR or a shift in channel mix actually means, and still make the call on pricing, staffing, or marketing spend. What changes is how many hours get spent assembling the report before anyone gets to that part.
